Attendee Response States
Each answer, what it means, and where to look for it.
Every guest on a meeting has exactly one response state at any moment. It starts as Awaiting reply and changes when they answer. Nothing you do to the meeting changes it except moving the meeting to a new time, which asks everyone again.
The four response states
| State | What it means | How it gets set |
|---|---|---|
| Awaiting reply | The guest has not answered. This is where everyone starts. | The state of a new invitation, and of everyone again after the meeting is moved to a new time. |
| Accepted | The guest said yes and intends to come. | They pressed Yes in their calendar or email, or accepted it on a synced device. |
| Declined | The guest said no. They stay on the meeting rather than being removed. | They pressed No, or declined it on a synced device. |
| Maybe | The guest answered without committing. Treat it as a soft yes that may not hold. | They pressed Maybe, or marked it tentative on a synced device. |
Where responses appear
| Where | What it shows |
|---|---|
| The meeting's own page, Attendees panel | Each guest's state beside their name, with the date and time they answered. A summary above the list counts the answers — for example 1 accepted, 2 awaiting reply. |
| Your inbox | A short notice each time a guest answers or changes their answer, naming them, their answer and the meeting. |
| Your guests' own calendars | Everyone invited sees everyone else's answer, because each update Zyntro sends carries the whole list. |
How an answer reaches Zyntro
A reply to the invitation
— The usual route. The guest presses Yes, No or Maybe and their calendar app replies to the address named in the invitation. Requires a verified sending domain.
A synced device
— If you use device sync, answering a meeting in the calendar app on your phone or laptop records the same answer in Zyntro.
Info: The organiser has no response state. You are not a guest of your own invitation, so the Attendees panel shows you as the host with no answer beside your name, and the summary above the list counts only your guests.
Tip: A clean list of acceptances is not the same as a full one. A guest whose mail software does not send calendar replies will sit at Awaiting reply however firmly they have told you in person that they are coming. Treat the states as what the calendars reported, not as a register of intent.
