What the Alerts Contain
Field by field, for both kinds of alert
Both alerts are generated from the submission, so neither is editable. This article sets out what each one carries, so you know what a recipient will see before you add them to a list.
The submission alert
| Aspect | Detail |
|---|---|
| Goes to | Every Active member on the submission watch lists, by email and by SMS independently. |
| Priority | Normal. It is informational. |
| Heading | New Form Submission. |
| Fields | The form's name, the contact's name, their email and phone where given, the appointment if one was booked, and which member the lead was assigned to. |
| Link | To the submission in the form's completions. |
| SMS version | A single line naming the contact and the form, followed by their email, phone and appointment where available. |
The assignment alert
| Aspect | Detail |
|---|---|
| Goes to | The single member who owns the lead. |
| Priority | High. Somebody is expected to act. |
| Heading (new contact) | Wording that presents this as a new lead assigned to them. |
| Heading (returning contact) | Wording that presents this as their existing contact having submitted a form. |
| Fields | The form's name, the contact's name, their email and phone where given, and the appointment if one was booked. |
| Link | To the submission in the form's completions. |
| Default | Email is on even with nothing configured. SMS is off until you enable it. |
Info: The appointment time is shown in the calendar's timezone, not the recipient's. This is intentional — it is the time the meeting sits on the host's calendar, which is the time they need to plan around.
Tip: The distinction between the two assignment headings is worth knowing when you read one. A new lead means somebody Zyntro had never seen before. Your contact submitted a form means somebody already in your CRM came back — often a stronger signal, since they have dealt with you before.
Who is filtered out before anything is sent
Inactive members
filtered
optional
Removed from every list. No alert is sent.
Suspended members
filtered
optional
Removed from every list.
Pending members
filtered
optional
Invited but never signed in. Removed from every list — the most common reason a colleague hears nothing.
SMS watchers with no mobile number
skipped
optional
Skipped for SMS only. They still receive email if they are on the email list. Nothing reports the skip, so check the member's profile if texts are expected and absent.
Info: Completions are visible to everyone in your organisation, not only to whoever built the form. Anybody who can see the form in My Forms can open its submissions, so the person a lead is assigned to can read what was answered. Following the link in an alert opens that specific submission directly.
