Prerequisites
- Attach a Calendar to a Form — Attach a schedule first
What the Booking Step Offers
Every setting comes from the schedule, not the form
You do not configure the booking step. It is built from the schedule you attached, which means changing how it behaves is a matter of changing the schedule.
This article lists what carries over, what the person booking sees, and the one schedule setting that has no effect on a form.
Schedule settings that shape the booking step
| Schedule setting | Effect on the form |
|---|---|
| Title and description | Shown as the heading and supporting text on the booking step, so the person knows what they are booking. |
| Slot duration | The length of the meeting, and therefore the size of the slots offered. |
| Days ahead | How far into the future someone may book. Limits the dates offered. |
| Allow in-person meeting | Adds In-Person Meeting as a choice on the form. |
| Allow video meeting | Adds Virtual Meeting as a choice. Choosing it produces a meeting link. |
| Location mode and address | Decides whether the in-person address is fixed by you, supplied by the person booking, or either. See the table below. |
| Availability | Determines which times appear. Only genuinely free slots are offered. |
| Strategy (group calendars) | Decides which member hosts when more than one is free. Covered in the group calendars article. |
Location modes
| Mode | What happens | Suits |
|---|---|---|
| Fixed | The meeting happens at the address on the schedule. The person booking does not choose. | An office, a clinic, a showroom. |
| Consumer | The person booking supplies the address. | Site visits, home appointments, anything where you travel to them. |
| Both | Your address is offered, and the person may supply their own instead. | Businesses that do both. |
Info: Times are shown in the booker's own timezone, and the meeting is stored so that each side sees it correctly in theirs. Someone booking from another country sees times that make sense to them, and your calendar shows the same meeting in yours.
Warning: Letting the person choose a team member does not apply to forms. A schedule can permit the booker to pick who they meet, and booking pages honour that. A form never offers the choice, so on a form the schedule's strategy always decides who hosts. If you need people to choose their own contact, send them to a booking page rather than a form.
What the person booking sees
| Element | Detail |
|---|---|
| Heading and description | From the schedule, so they know what the meeting is. |
| Meeting type | In-person or virtual, where the schedule allows both. |
| Location | Your address, or a field for theirs, depending on the location mode. |
| Dates | Limited by the booking window on the schedule. |
| Times | Real free slots only, in their own timezone. |
Tip: If the booking step shows no times at all, check the schedule rather than the form. The usual causes are no availability defined, a booking window of zero days, or every member of a group calendar being fully booked.
