Prerequisites
- How a Form Decides Who Gets the Lead — Attaching changes who owns the lead
Attach a Calendar to a Form
Turn a form into something people can book through
A form with a schedule attached gains a booking step. The person completing it sees genuine availability, picks a time, and on submission Zyntro creates the contact, the calendar event and the meeting together, then emails both sides an invitation with a calendar file attached.
This replaces the usual back-and-forth entirely. It also changes who ends up owning the lead, which is worth understanding before you attach one.
Before You Begin
- A schedule already set up, with availability defined
- A form to attach it to
Steps
Attach at creation, or later
There are two moments you can do this.
When creating the form, the Add a Schedule for Bookings? toggle is on by default — pick a schedule from the list beneath it, or switch the toggle off if the form is not for booking.
At any time afterwards, from inside the form builder. That is the route to use for an existing form.
Open the form builder
Go to Sales → CRM → Forms, open the form's row menu and choose Edit Fields.
Find the schedule section in the left panel
The left panel — Fields & Content — has a section for the attached schedule alongside the field categories.
If a schedule is already attached, you see a card naming it and its details, so you can confirm which calendar the form books into. If not, you see the attach controls.
Choose a schedule and attach it
Pick a schedule from the list and click Attach Schedule.
Zyntro reads the schedule's settings and builds the booking step from them — the slot length, how far ahead people may book, whether the meeting can be in person or virtual, and the location. You do not configure any of that on the form; it comes from the schedule.
Preview the booking step
Use Preview Form and work through to the booking step. Check that real times appear and that they look right for your working hours and timezone.
An empty booking step almost always means the schedule itself has no availability to offer, rather than anything being wrong with the form.
Check who will own these leads
Attaching a calendar changes lead ownership. The lead now goes to whoever can host the meeting — a group calendar's chosen member, or a single calendar's owner — not to the rotation set on the form.
If that is not what you want, the fix is the calendar's membership, not the form's routing.
To remove it, use Detach Schedule
In the same left-panel section, Detach Schedule removes the booking step from the form.
The schedule itself is untouched and stays available to other forms and booking pages. Detaching only severs this form's use of it.
Once detached, lead ownership falls back to the form's own routing settings.
Important: An attached calendar overrides the form's routing settings. When a form has a schedule attached, the lead goes to someone who can actually host the meeting — the calendar's members — and the Members in the rotation list you set on the form is not used. Those routing settings only apply to forms with no calendar attached.
Info: The booking step is built from the schedule's settings at the moment you attach it. If you later change the schedule's slot length, location options or booking window, detach and reattach so the form picks up the change.
Result
Your form now offers real availability, and a submission produces a contact, a calendar event, a meeting and invitations for both sides.
Test it once end to end with your own details. Check the invitation arrives, the time is right in your calendar, and the lead landed with the person you expected.
