Prerequisites
- Create a Regular Email Template — Required before using this capability
Set Up an Email Sequence
Build a multi-step email cadence — templated, AI-generated, or both — with per-step delays, conditional branching, and full control over when emails go out.
Before You Begin
- For template-driven and hybrid sequences, at least one saved email template — those step types select from existing templates. An intelligence-driven sequence needs none, because it writes each email itself.
- A From Sender — the identity the sequence sends from throughout.
- For hybrid or intelligence-driven sequences, at least one mandate to attach. Mandates are the rules every generated email must follow.
- A verified email sending domain, or nothing will leave the queue.
A sequence is a cadence: a series of emails to one contact over time, with the timing and the reply handling decided in advance — or left to the AI. A broadcast sends once; a sequence keeps working across days and follows up based on what each contact actually does.
Email is a native layer in Zyntro, so every open, click and reply a sequence produces becomes context for Segmentation Intelligence (SI) — the engine that decides what happens next for each contact. That is why the Sequence Goal matters: it tells SI how to treat replies against the outcome you are driving toward.
There are three types, and they differ only in who writes the emails:
- Template-Driven — you lay out the steps and pick a template for each.
- Intelligence-Driven — no steps at all. Each email is written when it falls due, for that contact.
- Hybrid — template steps first, then the AI takes over.
This guide covers the builder they share. For the intelligence-driven type specifically, see the dedicated guide linked at the end.
Steps
Open the sequence builder
Go to Communications > Email > Sequences and create a new sequence. The builder opens with fields for the name, goal and type — and the type you pick decides which sections appear below.
Name it and set the goal
Enter a Sequence Name and a Description. Both are internal; recipients never see either.
Then set the Sequence Goal. This does more than label the sequence: it tells SI how to treat any replies that come in, and on hybrid and intelligence-driven sequences it governs what each generated email actually says. Write it as an outcome — what should be true if this sequence works.
Choose the type
Template-Driven shows a step list: add each email, choose its template and set the delay before it.
Intelligence-Driven shows no step list at all. Instead you set a cadence — a maximum number of emails and a default delay between them — and attach the mandates each email must follow.
Hybrid does both: templated steps first, then the AI continues on the same cadence settings.
Set the cadence and quality threshold
For hybrid and intelligence-driven sequences, set how many emails one contact may receive, how long to wait between them, and what a reply should do to the enrolment.
The Quality Threshold (50–100, default 85) is the minimum score a generated email must reach before it may send. Anything below it is held rather than delivered.
Set the send window
The Send Window sets the hours and days the sequence may send — Start Time, End Time, the seven Send Days and a Timezone.
The hours are read in each contact's own timezone where Zyntro knows it. The timezone you pick here is the fallback for contacts whose own timezone is unknown.
Activate it
Save the sequence and set its status to active. A paused or draft sequence enrols nobody and sends nothing.
Contacts are enrolled from lists and from the other points where contacts are created or edited. Each enrolment then runs its own loop independently.
Result
Your sequence is live. Contacts are enrolled from lists or at other entry points — the business card scanner, new contact creation, or the contact details screen — and receive each email according to the delays, conditions and window you configured.
You stay in control after launch. Sequences can be paused, edited, stopped or deleted at any time. Deleting one removes its contacts' association with it, and nothing further is sent to them from it.
Troubleshooting
Check the Send Days toggles in the Send Window. A sequence only sends on enabled days, between the Start Time and End Time — if Saturday and Sunday are off, nothing dispatches on those days.
The window is read in each contact's own timezone, not in yours. A contact several hours ahead of or behind you can be outside their local window while you are inside yours. Confirm the sequence is active rather than paused, too.
Check the Quality Threshold. Generated emails must meet the minimum score (50–100) before they send, so anything below it is held. A lot of held emails usually means the goal is pulling against an attached mandate.
A maximum of 0 emails means unlimited, by design. Set a maximum if each contact should receive a defined number and then stop.
