Cancel or Reschedule a Booking

The links that travel with a booking, and what each one sets in motion.

Before You Begin

Plans change, and the alternative to letting people change them is an inbox full of rearrangement. So every booking carries its own links to cancel or reschedule, and they need no account and no login — holding the link is what grants access, which is the only thing that can work for someone who is not a Zyntro user.

Both routes keep the meeting and the calendar in step, which a side conversation by email does not.

Steps

Point people at the links in their confirmation

The invitation and confirmation a booker receives carry the cancel and reschedule links for their meeting. Nothing further is needed from you.

If someone emails you to rearrange instead, replying with their reschedule link is usually faster than doing it yourself — it keeps them in control and keeps the record straight.

Rescheduling

The reschedule link reopens the times for that schedule, and the booker picks a new one exactly as they did originally.

Availability is recalculated at that moment, so they are choosing from what is genuinely free now — not from what was free when they first booked. The original time is released and the meeting moves.

Because availability is live, a slot that existed when they first booked may be gone. That is correct behaviour, not an error.

Cancelling

The cancel link asks for confirmation, and is explicit that cancelling notifies everyone on the meeting and cannot be undone.

Once cancelled, the time is released and becomes bookable again. A booking that is already cancelled cannot be cancelled twice — the page says so rather than acting again.

If the meeting still needs to happen, reschedule rather than cancelling: cancelling loses the connection to the original booking.

Handling it from your side

You can also work directly on the calendar. Opening the event lets you change its time, and dragging it moves it — both of which keep the meeting and notify as appropriate.

For something a customer booked, prefer the cancel and reschedule route where you can. Deleting the event from your calendar frees your time but is a blunter action; the links exist so both sides end up informed.

Dragging a booked meeting on the calendar saves immediately and may notify the attendee. Drag deliberately.

Result

The meeting reflects reality, your availability is accurate again, and nobody is waiting on a reply to find out what is happening.

A cancelled time is immediately offered to other people. A rescheduled one releases the old slot and takes the new one.

Common questions

No. The links act immediately and notify everyone involved. The intent is that a change does not wait on anyone.

The links keep working, so it is worth not treating a late cancellation as impossible. For anything that has already taken place, the sensible record is the meeting itself rather than a cancellation after the fact.

They are in the original confirmation. If that is gone, handle it from your side on the calendar, or reschedule it for them and let the new confirmation carry fresh links.

No. The booking was a form submission, so the contact and everything captured with it remain. Only the meeting is cancelled.

Yes. Availability is worked out live, so the slot returns to the pool as soon as it is released.
