Booking Schedule Settings Explained

Every field on the schedule screen, what it controls, and who sees it.

Reach this screen from the schedule icon beside a calendar. It is headed Appointment Schedule for that calendar, and it holds everything about how that calendar can be booked.

One calendar may have several schedules. Each has its own availability, its own form and its own public page, and all of them draw on the same calendar — so a booking through one blocks the others.

What the meeting is

Event Type choice optional

The category the booking takes on your calendar, which decides its colour. Event types are defined per calendar in the calendar's settings.

Title (visible to customers) text required

The heading on the public booking page. Written for the person booking.

Description (visible to customers) textarea optional

Shown on the booking page under the title. Use it to set expectations before someone commits.

Event Title text optional

The title the meeting carries in the booker's own calendar once booked. Not the same as the customer-facing title — keep it short and recognisable to someone who booked a week ago.

Event Description textarea optional

The description on the booked meeting. A good place for joining instructions or what to prepare.

Who captures the booker

Connected Form form required

The form a visitor is sent to after choosing a time, with that time carried along. Submitting it is what creates the booking, saves the contact and sends the invitations. A schedule without one is not bookable.

Important: A booking schedule needs a connected form to be bookable. The booking page offers the times; the form is what collects who the person is and what actually creates the booking. Without one, a visitor can pick a slot and press the button and nothing at all will happen — no error, no booking. Always set the connected form before sharing a booking link.

Where it happens

Allow Virtual Meetings toggle optional

Offers a remote meeting, with Zyntro creating the meeting room and putting the link on the booking.

Default: on

Allow In-Person Meetings toggle optional

Offers meeting in person, and reveals the location options. With both toggles on, the booking page opens by asking which the visitor prefers.

Default: off

In-Person Location Options choice optional

Fixed — your address, the same for everyone. Consumer — the visitor gives their own, with suggestions as they type. Both — the visitor chooses.

Default: Fixed

Label text optional

An optional name for a fixed address, such as which entrance or floor. Worth filling in.

Address text optional

The fixed address, used when the location mode includes a fixed option.

Availability and slots

Availability windows per-weekday times required

The windows, per weekday, in which you are willing to be booked. A day can have several; a day with none is never offered. These windows are the only thing that limits bookable time — organisation business hours do not.

Slot Duration minutes required

How long the meeting is.

Default: 60

Slot Gap minutes required

The interval between offered start times — not padding after a meeting. A gap larger than the duration is what creates recovery time between bookings.

Default: 30

Max Daily Slots number optional

How many times to offer on any one day. Zyntro offers this many of the day's free times and holds the remainder in reserve, so the times shown can differ between visits.

Default: 5

Days Ahead to Show number required

How far into the future the page will look for availability. A limit on searching, not a promise of free time.

Default: 10

Timezones list optional

Additional timezones to read availability against while you are setting it up.

Group calendars only

Allow Booking with Specific Member toggle optional

Lets a visitor choose who they meet rather than being allocated. Takes effect on the booking page.

Default: on

Event Allocation Strategy choice optional

How a booking is assigned among available members. Covered in the Group Calendars section, where the behaviour behind each option is set out — the labels are easy to misread.

Info: Allocation settings appear here and in the calendar's own settings. They are the same settings reached two ways. If you change one and the other looks stale, reload the screen rather than setting it twice.
