Bring Your Google or Outlook Calendar into Zyntro

So your existing commitments block time here, and nothing is offered that you cannot honour.

Before You Begin

If you keep your working life in Google Calendar or Outlook, Zyntro needs to be able to see it. Otherwise your booking page offers hours you are already committed for, and on a group calendar you get allocated meetings you cannot take.

This connection is read-only and runs one way: your commitments come in, and nothing about Zyntro goes out. It is also personal — you are connecting your own calendar, and each colleague does the same for theirs.

Find it under Integrations, which lists Google Calendar and Outlook Calendar side by side. Both work identically.

Steps

Get the secret address of your calendar

Both providers can publish a calendar at a private address that other calendar software can read.

  • Google Calendar — hover the calendar in the left-hand list, open Settings and sharing, and scroll to Integrate calendar. Copy the Secret address in iCal format.
  • Outlook or Microsoft 365 — publish the calendar and choose the option that produces a link in the same calendar format, rather than the one that produces a web page.

Copy the whole thing.

Choose the private or secret address, not a public sharing link. Anyone holding it can read that calendar, so treat it like a password.

Add it in Zyntro

Open Integrations and choose Google Calendar or Outlook Calendar.

Fill in three things:

  • Calendar Label — a name for your own benefit, such as My Personal Calendar. It is how you will recognise this connection later.
  • ICS Feed URL — the address you just copied.
  • Sync Frequency — how often Zyntro re-reads it: every hour, every four hours, every twelve hours, or once daily.

Save, and Zyntro reads the calendar for the first time.

Choose a sync frequency that matches how you work

Every hour suits anyone whose diary changes through the day and who takes bookings at short notice. It is the right default for client-facing people.

Once daily is enough for a calendar of fixed commitments that rarely change.

The trade-off is simple: the longer the interval, the longer a new commitment in Google remains invisible to Zyntro, and the longer the window in which someone could book over it.

Nothing is instant. An appointment you add in Google is protected in Zyntro from the next sync onwards, not immediately.

Check that it worked

Open a calendar in Zyntro and look at a week you know has commitments in the other calendar. They should be there.

Imported commitments behave exactly like events you created here: they occupy time, they remove those slots from your booking pages, and on a group calendar they stop you being allocated a meeting you cannot take.

They are a reflection, though — edit them where they were created, not here. Your changes there will come through on the next sync.

Have everyone who takes bookings do the same

This connection is per person. On a group calendar, allocation quality depends on every member's commitments being visible, so one member who has not connected their calendar will keep being offered and allocated time they do not actually have.

It is worth making this part of how someone is set up, rather than something people get round to.

Warning: On a Google Workspace account the secret address is often missing entirely. It is hidden until an administrator enables external calendar sharing for the organisation, and until then the field simply does not appear in Integrate calendar — there is no message explaining its absence. If you cannot find it, see When Google Workspace Hides the Secret Address. Personal @gmail.com accounts are unaffected.

Result

Your outside commitments now block time in Zyntro, and everything that offers your time is working from your real week rather than an optimistic version of it.

Nothing has gone the other way. If you also want your Zyntro meetings visible in Google or Outlook, that is the separate outbound connection.

Important: These two connections do not know about each other. Connecting your Google or Outlook calendar brings your commitments into Zyntro so your availability is accurate — it does not put your Zyntro meetings into Google or Outlook. Subscribing Google or Outlook to a Zyntro link does the opposite and nothing more. Set up whichever directions you need; most people want both.
