Find and Merge Duplicate Entities

Scan, review, choose the keeper, merge.

Before You Begin

Everything here happens on one screen: CRM → Entities → Consolidate Entities.

It starts empty, with a prompt to scan. Nothing is changed by scanning — it only looks.

Steps

Scan for duplicates

Choose Scan for Duplicates. Zyntro groups organisations with identical names and reports what it found as a row of figures:

  • Total Entities — everything in your CRM, not counting records already merged.
  • Duplicate Groups — how many sets of same-named organisations exist.
  • Entities in Duplicates — how many records those groups contain in total.
  • Orphaned Contacts — contacts with no organisation at all. Shown only when there are some.
  • Merged (Purgeable) — tombstones from previous merges. Shown only when there are some.

If nothing matches you get No Duplicates Found.

No Duplicates Found means nothing is spelled identically — not that your list is clean. Duplicates differing by Ltd against Limited are invisible to this scan.

Read the groups

Each group is headed by the shared name and how many records carry it. Inside, the records are listed with their Entity Type, location, and counts of contacts, invoices and revenue.

The order is deliberate: most contacts first, then oldest. The record at the top is Zyntro's suggestion for which to keep, and it is usually the right one.

Open the merge preview

Choose Merge on a group to open the preview drawer. It names the record that would be kept and shows a Merge Impact breakdown — exactly how many contacts, invoices and revenue records would move.

Read this before confirming. It is the only place that tells you the size of what you are about to do, and a count much larger than you expected usually means the group is not what you think it is.

Choose which record survives

The suggested primary is the one with the most contacts, but you decide. Pick the record that is most complete rather than merely largest — the primary's own values win every conflict, so a record with the right website and the right custom fields makes a better keeper than one with an extra contact and blank fields.

The losing records' values only fill gaps the primary leaves empty. Nothing on the primary is ever overwritten.

If the two records disagree on something that matters, fix the primary first, then merge. After the merge the other version is unreachable.

Move individual contacts if the group is mixed

Sometimes a group is not a true duplicate — two genuinely different organisations happen to share a name. Rather than merging, you can move selected contacts from one record to another from within the group.

Use this when the right answer is some of these people belong over there, not these are the same company.

Merge

Confirm in the drawer. Zyntro moves everything to the primary, fills its gaps, combines tags, socials and custom fields, and marks the other records as Merged.

The screen reports what happened. Merged records drop out of your entity list immediately and will not appear in future scans.

Deal with orphaned contacts while you are here

If any contacts have no organisation, an Orphaned Contacts panel appears underneath, with a search box and paging.

Select contacts and assign them to an organisation in one go. This is worth doing in a B2B or Hybrid CRM, where a contact with no organisation is usually an oversight rather than a decision — in B2C it is normal and the panel can be ignored.

Result

Your duplicate groups are merged, the surviving record holds all of the contacts and commercial history, and the losing records are marked as Merged.

Re-running the scan now shows fewer duplicate groups and a Merged (Purgeable) figure. Those tombstones stay until you purge them, which is a separate and irreversible step.

Warning: A merge cannot be undone. Zyntro records that the losing record was merged, but not which contacts came from it — so there is no way to pull them back out afterwards. Decide which record is the keeper before you merge, not after.

Important: Zyntro matches duplicates on the name only, and the match has to be exact. Capital letters and spaces around the name are ignored, and nothing else is. Acme Ltd and Acme Limited are two different organisations as far as the scan is concerned, and so are Acme and Acme Inc.

So a clean scan does not mean you have no duplicates. It means you have none that are spelled identically.
