Entities on a Contact Record

What the link looks like from the person's side.

What It Is

A contact linked to an organisation shows it in two places.

Next to their name, the organisation appears as a link through to its own page.

As a tab, named after the organisation rather than something generic. The tab carries a badge counting the other contacts you have at the same place — so a tab reading Henderson Group 4 tells you, before you open anything, that you know four other people there.

A contact with no organisation simply has no tab and no link. Nothing is greyed out or shown as empty.

Why It Matters

Because the badge is the thing you would otherwise never check. Opening a contact to prepare for a call and seeing that four colleagues of theirs are already in your CRM changes the call. Without it, that fact lives on a screen nobody visits.

Because it is how the organisation's context reaches the conversation. The entity's fields and custom fields sit behind that tab, so what is true of the company is one click from the person, rather than somewhere you have to remember to look.

Because it is the fastest way to spot a duplicate organisation. Two contacts who obviously work together showing two differently-named tabs is a duplicate you have just found by accident — and it is the kind the automatic scan will not catch, because the names differ.

How It Works

In B2C

The tab appears whenever a contact actually has an organisation, in every CRM mode — B2C included. The mode does not hide entities; it only changes what the Add Contact form assumes.

In B2C the Skip entity toggle starts switched on, so contacts are created without an organisation by default and most of them never have a tab. Switch it off for a contact who does represent a business and the tab appears for that contact like any other.

The one place B2C is stricter than the form is imports and the API: entity data sent to either is ignored rather than creating an organisation.

Linking a contact afterwards

A contact created without an organisation can be linked to one later from their own page — the entity selector lists the Active organisations in your CRM. A contact belongs to at most one organisation at a time.

What happens when you delete a contact

This one surprises people, so it is worth knowing before it matters.

Deleting a contact also deletes their organisation — but only if that contact was the last one linked to it. The reasoning is that an organisation with nobody at it is a leftover rather than a record. If anybody else is linked, the organisation is untouched.

The delete confirmation says so explicitly, naming the organisation. Read it rather than clicking through: if the organisation carries custom fields, invoices or revenue you care about, unlink the contact first and delete them separately.

Examples

Scenario
You open a contact and the tab says Henderson Group with a 4

You know four other people at Henderson Group. Opening the tab shows them, along with everything recorded about the organisation itself.

Scenario
A B2C workspace adds a contact who turns out to run a business

Switch Skip entity off on the Add Contact form for that one contact and link or create the organisation. Everything behaves as it would in B2B for that contact. The default stays unchanged for everyone else.

Scenario
Two contacts clearly at the same firm show differently-named tabs

You have a duplicate organisation. Because the names differ, the duplicate scan will not find it — this is exactly the case you have to catch by eye, and the consolidation screen lets you merge them once you know.

Scenario
You delete the only contact at a company

The organisation goes with them. If it held invoices, revenue or custom fields you wanted to keep, that is gone too — so unlink first if the company record matters independently of the person.

Scenario
You delete one of five contacts at a company

The organisation stays, along with the other four. Only the contact is removed.

Warning: Deleting the last contact at an organisation deletes the organisation too. The confirmation names it. If the company record matters on its own — because of invoices, revenue or custom fields against it — unlink the contact from it before deleting them.
