Enrich Contacts and Keep Them Warm
Two actions that work on the relationship, not the inbox
Most form actions send something. These two do not.
Enrich Contact Data researches the person and fills in detail they did not type. Keep Contact Warm schedules periodic contact in the gap between someone booking a meeting and the meeting happening.
They are grouped here because they share a trait: both quietly improve the relationship rather than producing anything the person sees immediately.
Before You Begin
- For enrichment: enough identifying detail on the form for research to be possible — an email address at minimum
- For keep-warm: a schedule attached to the form, so submissions can produce a booking
Steps
Turn on Enrich Contact Data
In Manage Form Actions, switch on Enrich Contact Data.
After each submission, Zyntro researches the contact and adds what it finds to their record. This is how a form that asked for a name and an email can still produce a contact with useful business context attached.
Decide whether enrichment is worth it for this form
Enrichment earns its cost on forms where the submission matters individually — demo requests, quote requests, consultation bookings. Every enriched record gives Segmentation Intelligence more to work with.
It is poor value on a high-volume form where most submissions will never be followed up. Newsletter signups and content downloads rarely justify enriching every single one.
Turn on Keep Contact Warm, if the form takes bookings
Switch on Keep Contact Warm. Two settings appear.
Auto-Engage Interval is the number of days between each contact, defaulting to 3.
Begin after is how long after the submission the schedule starts, in seconds, defaulting to 900 — fifteen minutes.
Zyntro then works out how many contacts fit between that start point and the meeting date, and schedules them at your interval. A meeting three weeks out with a three-day interval produces several; a meeting on Thursday produces one or none.
Check the prerequisites for keep-warm are actually met
Keep-warm needs two things to be true, and if either is not, it does nothing at all:
- The submission must have produced a booking. Keep-warm exists to bridge the gap before a meeting. No meeting, no gap, nothing scheduled.
- The contact must have auto-engage enabled. A contact excluded from automatic engagement is not contacted, which is the point of that setting.
Neither produces a warning. The toggle simply has no effect.
Save
Save the screen. Both actions apply from the next submission.
Important: Enrichment costs money. Each enrichment applies a charge to your wallet at the current enrichment rate. On a form receiving a handful of high-value submissions a day this is easily justified. On a form receiving hundreds, check the arithmetic before turning it on.
Warning: Keep Contact Warm requires a booking. If the form has no schedule attached, or the person did not choose a time, nothing is scheduled and no error appears. Attach a schedule in the form builder if you want keep-warm to work.
When each is worth turning on
| Form | Enrich | Keep warm |
|---|---|---|
| Demo or consultation booking | Yes — the context pays for itself | Yes — this is exactly what it is for |
| Quote or proposal request | Yes | Only if it books a meeting |
| General website enquiry | Usually | No booking, so no effect |
| Newsletter signup | No — volume outweighs value | No effect |
| Content download | No | No effect |
| Feedback or satisfaction survey | No — they are already a contact | No effect |
Result
Contacts arriving through this form now carry more than they typed, and anyone who booked a meeting hears from you in the meantime rather than going quiet until the day.
You can confirm enrichment worked by opening a contact created after you enabled it — the added detail appears on their record alongside what they submitted.
