Connect Google Meet for the Observer
The one connection everything else in Meetings depends on.
Before You Begin
- A Google account you use for work
- An understanding of what the Observer does with the connection
Zyntro needs permission from Google before it can create a Google Meet link on your behalf. Without that permission, a video meeting falls back to Zyntro's own meeting room — which works perfectly well as a place to talk, but has nothing for the Observer to join, so the call is not recorded.
This is the most common reason people find that a meeting they expected to be recorded was not.
The connection is per member. Each person who wants their own meetings recorded connects their own Google account. It takes about a minute and is a one-off, apart from an occasional renewal.
Steps
Go to the Google Meet integration
Open Settings → Integrations and choose Google Meet.
If it already shows Connected with a date, you are done — skip to the last step and check its health.
Choose Connect with Google
This hands you to Google's own sign-in, where you choose the account to connect and review what Zyntro is asking for.
Use the Google account you actually run meetings from. If you have a personal and a work Google account signed in, pick carefully — the connection creates meetings on whichever account you choose, and that is the account the meeting will belong to.
Approve the permissions
Google will show you what Zyntro is requesting and ask you to allow it. Work through the screens Google presents and approve.
You are then returned to Zyntro, which shows the connection as active.
Confirm the connection is healthy
Back on the Google Meet screen you should see Connected, the date it was connected, and a line confirming the connection is active and valid.
Use Check Connection to re-test it at any point. That is worth doing before anything that matters — a quarterly review, a big pitch — because it answers the question in a second rather than leaving you to find out from a missing debrief.
Create one test meeting
The connection being green is good evidence; a real meeting is proof.
Create a Quick Meeting and look at the banner above the link. Green means the Observer will join. Amber means something is still wrong, and the banner says what.
You can close the meeting straight away — you are testing whether the link was created and the Observer was scheduled, not holding a meeting.
Result
Zyntro can now create Google Meet links for your meetings, and the Observer can attend them.
From here, any video meeting of yours — booked through a form, booked on a booking page, created on your calendar, or started as a Quick Meeting — gets a Google Meet link and an Observer, provided the Observer is switched on.
The connection needs renewing periodically. Zyntro emails you a reconnect link before yours lapses, and the renewal takes one click.
Warning: If you have no connection of your own, a colleague's may be used instead. When Zyntro needs a Google Meet link and the member involved has no connection, it looks for one elsewhere in the organisation.
This means meetings keep working, which is usually what you want. But the meeting room is created on that colleague's Google account rather than yours, so the recording and the meeting belong to their account. Connecting your own is the cleaner arrangement, and on a team where several people run meetings it avoids a single person's lapsed connection taking everyone down with it.
Tip: Connect everyone who runs meetings, not just the account owner. A member without their own connection is dependent on somebody else's, and that dependency is invisible until it breaks.
