Turn the Observer On or Off
The master switch, and what sits underneath it.
Before You Begin
- Access to Settings → Sales Settings
- An understanding of what the Observer does
The switch is Send the Observer to my meetings, at Settings → Sales Settings → Meeting Settings.
It is on unless somebody turned it off. A workspace that has never visited this screen is recording its video meetings, which is the sensible default — the alternative is a feature that silently does nothing until discovered.
It is the master switch for the whole of Meeting Intelligence on video calls. Everything else on that screen acts on a transcript, and this switch decides whether a transcript gets made.
Steps
Open Meeting Settings
Go to Settings → Sales Settings → Meeting Settings.
The first card is The Zyntro Meeting Observer. Underneath the switch, the same screen lists everyone in your organisation who has connected Google Meet, and flags any connection that needs renewing — which is the fastest place to see whether recording is actually going to work, as opposed to being switched on.
Set the switch
On means that when Zyntro creates a video meeting on a Google Meet link, the Observer joins a minute before the start, records the call and transcribes it.
Off means no meeting is recorded, and nothing in the After the meeting card below can happen, because there is no transcript to work from. The card dims to show you that.
Save
The setting applies from the moment you save it, to meetings created after that point.
It does not reach back. A meeting already scheduled with an Observer against it keeps that Observer — turning the switch off does not cancel it. If you want to stop a specific meeting being recorded, deal with that meeting rather than the switch.
Check what you have just changed
If you turned it on and nobody in the organisation has connected Google Meet, the switch is willing but nothing will be recorded. The connection roster on the same screen will be showing a warning to that effect — sort that out next.
If you turned it off, the four post-meeting actions stay exactly as they were, and they still apply to meetings recorded on a phone. Only the video path stops.
Result
The switch is set, and it governs every video meeting created from now on: form bookings, booking-page bookings, meetings created on a calendar, and Quick Meetings.
With it on and a working Google Meet connection, your video calls are recorded and processed without anybody doing anything.
With it off, video meetings happen normally and produce nothing. Meetings you record yourself on your phone are unaffected and still produce the full set of results.
What the switch covers
| Meeting | Affected by the switch |
|---|---|
| A video meeting booked through one of your forms | |
| A booking made on a booking page | |
| A video meeting created on a calendar | |
| A Quick Meeting | |
| Sending the Observer to a meeting by hand | |
| A meeting you record yourself in the mobile app | |
| A transcript or recording you supply afterwards | |
| A webinar |
Info: Webinars are recorded regardless of this switch. A webinar is recorded because that is substantially the point of running one — the recording is the asset. Turning the Observer off for your meetings does not turn off webinar recording, and there is no version of this switch that does.
Tip: If you are turning it off because of one sensitive meeting, turn it off for that meeting instead. Hold that conversation somewhere other than a Zyntro-created Google Meet link, or cancel the Observer on that specific meeting. Switching recording off organisation-wide and forgetting to switch it back costs you every meeting in between, and you will not notice until you want one of them.
