Private Videos
Each video's Appearance Settings has a Private Video toggle. Videos marked private show a padlock icon in the library list.
Private means not available for automatic use. It is there for videos that exist for a reason but should never be chosen by something acting on your behalf — an internal training recording, a draft, a video made for one named client.
What private covers
| Where | Effect of marking it private |
|---|---|
| Segmentation Intelligence | Will not consider the video when deciding what to send a contact |
| Video pickers | Does not appear in the lists you choose a video from |
| Assistant and agent search | Will not be returned as a match for a question |
| Attaching to a record | Not offered when attaching a resource to an entity |
| The public page | No change — the link still plays |
| Your own library | No change — still listed, with a padlock |
| Raw videos | Not applicable — the setting exists for playable videos only |
When to use it
Internal recordings
— Team training, a recorded internal meeting, a process walkthrough for staff. Useful to keep and transcribe, but nothing should ever send it to a customer.
A video made for one client
— A personalised walkthrough or a bespoke pitch. You want to send the link yourself, to that one person, and not have it offered to anyone else.
Drafts and alternates
— An earlier cut, or a version you are still deciding about. Keeping it private stops the wrong version being chosen while you make up your mind.
Anything with figures you would not publish
— A video quoting internal numbers or named accounts. Private keeps it out of outbound messages; sharing the link remains your decision.
Important: Private is not a lock. A private video's public page still plays for anyone who has the link, and the link does not expire. If a video must not be watched by the wrong person, the only real control is who you give the link to — do not rely on this setting for that.
Info: The setting is reversible at any time and takes effect from the moment you save. Switching it off makes the video available again straight away; switching it on withdraws it from future selections, though it cannot un-send a message that already went out.
Tip: Private videos are still transcribed, still get a summary and tags, and still accumulate viewing figures. You lose nothing by marking something private except its availability for automatic use — so when in doubt about a video, mark it private and decide later.
