Calendar Settings Explained
Everything a calendar remembers about itself, and which settings only apply when it is shared.
Open a calendar's settings from the Settings button beside it under All Calendars. The screen has two halves.
Calendar Details is what the calendar is — its names, its owner, whether it is shared, whether it is private. Everything the creation form asked, plus ownership and allocation, which creation does not ask about.
Display & Scheduling Settings is how the calendar behaves — timezone, date format, the grid intervals, extra timezones, event types and their colours.
Settings are per calendar. Two calendars can have entirely different grids, event types and colours.
Calendar Details
Calendar Name (For your reference)
text
required
The internal name, shown in your calendar list. Never shown to anyone booking.
Publicly Visible Calendar Title
text
required
What a person booking time sees as the heading. Write it for them.
Publicly Visible Calendar Description
textarea
optional
Shown on the booking page. Use it for what the meeting is for and what to prepare.
Calendar Owner
member
required
The member the calendar belongs to. Can be reassigned here — useful when someone leaves or a calendar changes hands.
Is it a Group Calendar?
toggle
optional
Turns the calendar into a shared one whose bookings are allocated across several members. Switching it on reveals the member list and the allocation strategy.
Default: off
Allowed Members in the Group
member list
optional
Who can receive bookings. The owner appears here too, and can be deselected to take them out of the rotation without removing their ownership.
Event Allocation Strategy
choice
optional
How a booking is assigned among available members on a group calendar. Covered in the Group Calendars section, because the behaviour is more specific than the labels suggest.
Allow booking with a specific member
toggle
optional
Lets a person booking choose who they want to meet rather than being allocated. Applies to the booking page.
Is it a Private Calendar?
toggle
optional
Marks the calendar private and reveals the password field. See the warning below about enforcement.
Default: off
Calendar Access Password
password
optional
Stored when set, and cleared if the calendar is made public again. Not currently checked by the booking page.
Warning: The private calendar password is not yet enforced, as of October 2026. You can mark a calendar private and set a password, and both are saved, but the public booking page does not currently ask for it. Treat a booking link as public until this is enforced, and do not rely on the password to restrict access.
Info: The owner is in the booking rotation unless you take them out. On a group calendar the owner appears in the member list already selected. Deselecting them means bookings go only to the other members — the pattern for a manager who administers a calendar they do not personally take meetings from. They remain the owner either way.
Display & Scheduling Settings
Calendar Timezone
timezone
required
The timezone every event on this calendar is displayed in, for everyone who views it. Someone booking still sees their own timezone on the booking page.
Date Display Format
choice
optional
Whether dates read month-first (mm/dd) or day-first (dd/mm). Display only — it changes nothing about the underlying times.
Default: mm/dd
Default Calendar View
choice
optional
Which view the calendar opens in: Monthly, Weekly or Daily. Set it to the one you actually work in.
Default: Monthly View
Slot Duration
duration
optional
How finely the day is divided, and the length of an event created by one click on empty space.
Default: 15 minutes
Snap Duration
duration
optional
The increment a dragged or resized event snaps to. Set it smaller than the slot duration for finer control.
Default: 15 minutes
Slot Label Interval
duration
optional
How often a time label is printed down the side of the grid. Readability only.
Default: 30 minutes
Manage Custom Timezones
list
optional
Additional timezones shown alongside the calendar's own, so you can read a slot in a client's local time without converting it in your head.
Manage Event Types
list
optional
Your own labels for the kinds of events on this calendar. They are per calendar, so a sales calendar and a delivery calendar need not share a vocabulary.
Manage Event Category Colors
colours
optional
The colours used on the grid for the four event categories — video, in person, phone and custom. Changing them changes how the month view reads at a glance.
Subscribe from Google Calendar or Outlook
link
optional
Creates a private link that Google Calendar and Outlook can follow to show this calendar alongside their own. Off until you create a link; Replace link issues a new one and Turn off removes it. The copy those apps show is read-only.
Warning: A subscription link is a credential, not a share setting. Anyone holding it can read this calendar, with no sign-in — that is simply how Google and Outlook follow a calendar, since their fetchers cannot log in. Treat it like a password, and if it ever goes somewhere it should not, use Replace link or Turn off. Both take effect immediately, and both stop every calendar already following the old link.
Tip: Custom timezones earn their place the moment you book across regions. Adding your two busiest client timezones puts them next to your own on the grid, which removes the mental arithmetic that causes meetings to be set an hour out.
