When the Observer Cannot Attend
Every reason, every status, and the fix for each.
There are two kinds of answer to "why was this meeting not recorded?"
The first is that the Observer was never scheduled — something about the meeting or the setup meant it was never going to attend. Those are the four reasons below, and all four are visible before the meeting.
The second is that it was scheduled and something happened to it. That is what the status values tell you.
The four reasons an Observer is never scheduled
| Reason | What it means | Fix |
|---|---|---|
| The Observer is switched off | Somebody turned off Send the Observer to my meetings for this brand. Nothing will be recorded on any video meeting. | Turn it on at Settings → Sales Settings → Meeting Settings. |
| The meeting has no Google Meet link | There is nothing for the Observer to dial into. In-person meetings, phone meetings and meetings on a link you supplied yourself are all in this group. | Nothing to fix — these are not failures. Record it yourself, or supply a transcript afterwards. |
| Zyntro could not create a Google Meet link | A link was wanted but Google would not give one. Almost always a connection that has lapsed or was never made. | Check the Google Meet connection and reconnect if needed. |
| The Observer could not be scheduled | The link exists and the setting is on, but the Observer could not be arranged for this meeting. | Reset the Observer from the meeting's screen. If it keeps failing, treat it as an unrecorded meeting and supply a transcript. |
Info: On a Quick Meeting you see these reasons directly. The banner above the meeting link is green when the Observer is coming, and amber with the reason when it is not. That banner is the single most useful diagnostic in Meetings, because it appears before the conversation rather than after it.
Observer status values
| Status | What it means | Action |
|---|---|---|
| No observer assigned | Nothing was ever scheduled for this meeting. | Check the four reasons above. If the meeting has a link and has not started, reset the Observer. |
| Scheduled | Arranged, waiting for its join time. | None. The card shows when it will join. |
| Ready | About to join. | None. |
| Joining | Connecting to the call now. | If your Google Meet asks hosts to admit participants, admit it. |
| Joined | In the meeting. | None. It appears in your participant list. |
| Recording | Capturing the conversation. | None. |
| Complete | Finished. The transcript is being prepared. | None. Intelligence follows shortly. |
| Error | Something went wrong and it did not record the meeting. | If the meeting has not finished, reset the Observer. If it has, supply a recording or transcript. |
| Failed | It could not attend at all. | As above. Check the Google Meet connection first — a lapsed connection is the usual cause. |
Cases that look like failures but are not
| What you see | Why |
|---|---|
| A transcript, but no summary or debrief | The conversation was under a minute, or had only a handful of exchanges in it. Very short meetings are kept but not processed — there is nothing in them to summarise honestly. |
| The Observer joined late | A meeting that starts within about five minutes of being created may begin before the Observer arrives. The transcript covers from where it joined. |
| An in-person meeting has no Observer | Correct. There is nothing to join. Record it in the mobile app instead. |
| A webinar was recorded with the Observer switched off | Correct. Webinar recording does not depend on this setting. |
| The meeting is marked Completed but has no intelligence | Completed only means the end time has passed. It says nothing about whether the meeting happened or produced anything. |
Important: When the Observer does not attend, nothing goes wrong. The meeting happens normally, everyone talks, nobody is interrupted, and no error appears anywhere. It simply produces no transcript and therefore no debrief, no contact update and no follow-up.
That is why the habit worth building is checking before the meeting rather than looking for the debrief afterwards. On a scheduled meeting the Observer card on its detail screen tells you; on a Quick Meeting the banner above the link tells you.
