Recover Meeting Intelligence
A meeting Zyntro never attended, processed as if it had.
Before You Begin
- A recording, a video link, or a transcript of the conversation
- An understanding of what each source costs
There are two ways in, and which one you use depends on whether the meeting already exists in Zyntro.
On a meeting that already exists and has already happened without producing anything, the meeting's own screen offers Recover Meeting Intelligence at the bottom. Use this for a video call the Observer missed, or an in-person meeting nobody recorded in the app. The meeting, its time and its attendees are already there, so you only supply the material.
For a conversation Zyntro has no record of at all, go to CRM → Meetings → Retrospective. This builds the meeting from scratch — you describe it, name the attendees, then supply the material.
Both end in exactly the same place.
Steps
If the meeting exists, open it
Open the meeting from the Meetings list. If it has already happened and has no intelligence against it, a Recover Meeting Intelligence panel appears near the bottom: Meeting intelligence was not captured automatically. Provide a recording or transcript to generate insights.
Skip to the step about choosing a source. Everything else is already filled in.
If the meeting does not exist, carry on to the next step.
Describe the meeting
At CRM → Meetings → Retrospective, fill in the Meeting Details: a title, the date, the start and end times, the timezone, and the location.
Get the time and timezone right. It is what the meeting is filed under, and a meeting recorded at the wrong time is confusing to find later and misleading on a contact's history. There is a notes field if there is context worth keeping.
Add the attendees
Search your contacts by name or email and add the ones who were there. Anyone not in your CRM can be typed in directly with a first name, last name and email.
This is worth doing properly for two reasons. It is what connects the meeting to the contact's record, so the summary and the profile details land where they are useful. And Zyntro works out how many voices to separate in the recording from the number of attendees, so an accurate list produces better speaker labelling in the transcript.
Choose the source
Three options, each with its price on the card:
- Audio Recording — upload an MP3, AAC, M4A, WAV, OGG or WebM file, up to 60 MB.
- Video Recording — a shareable Google Drive link or a direct download link.
- Text Transcript — paste the transcript in. Any format works; Zyntro tidies it before processing.
If you have a transcript, use it. It is the cheapest option and the most accurate, because nothing has to be transcribed from audio.
Decide about the attendees' summary
There is a Suppress attendee notifications toggle, and its default differs depending on where you are.
On the recovery panel of an existing meeting it is already on, because sending a summary of a meeting from two weeks ago to the people who attended is usually unwelcome.
On the Retrospective screen it is off, so a meeting you are recording now behaves like any other.
The decision is about timing. A summary that arrives the same day is useful; one that arrives long afterwards is an odd thing to receive. If in doubt, suppress it and send something yourself.
Process it
Choose Process Meeting Intelligence, or Process Intelligence on the recovery panel.
A pasted transcript is usually done in a minute or two. Audio and video take longer, depending on length. Your account is charged when the work is submitted.
Result
The meeting is now a normal Zyntro meeting with a full set of results: the transcript, the summary, the highlights, the action items, the sentiment and engagement reading, and the relationship insights.
Your debrief arrives by email unless you have it switched off. If a contact was attached, the summary reaches their record and their profile is updated from what was said. The follow-up is raised as a reminder.
The only thing that differs from an Observer-attended meeting is how the material arrived.
Tip: A transcript in your own words still works. If you have no recording but you wrote notes after the conversation, paste those in. It is not as good as a real transcript — Zyntro can only work from what is there — but a summary, action items and a follow-up built from your notes is considerably better than nothing, and it costs the least of the three routes.
Write them as what was said rather than as bullet points, and you will get more out of it.
Info: Very short conversations produce nothing. A transcript under about a minute, or with only a handful of exchanges in it, is kept but not processed. There is not enough in it to summarise honestly, and Zyntro will not invent the rest.
