Which Meetings Appear Here

Why your calendar has more on it than your Meetings list.

What It Is

Your calendar holds everything: customer calls, internal reviews, blocked-out thinking time, lunch, a reminder to ring the accountant. Your Meetings list holds a subset of that.

The rule is simple. A calendar entry becomes a meeting when somebody else is involved in it — when a contact is attached to it, or when a guest has been invited. An entry with nobody on it but you stays a calendar entry.

That is why your Meetings list is shorter than your calendar, and usually much shorter.

Why It Matters

Because without the rule, the list would be useless. Most people's calendars are mostly not meetings. Blocked-out focus time, personal appointments, travel, reminders — all of it would sit in the Meetings list next to your customer conversations, and the list would stop being worth opening.

It matters more than tidiness, though, because only a meeting can be recorded. The mobile app offers you a record button on meetings. A calendar entry that never became a meeting has no record button, which is exactly when people discover the rule — standing in a reception, about to go into a conversation they wanted recorded.

The good news is that it is one step to fix, and you can do it in advance. Attaching the contact to the calendar entry makes it a meeting. Do that when you book the entry and the record button is waiting for you.

How It Works

What makes an entry a meeting

Either of these is enough:

  • A contact is attached to the entry. This is the usual case for anything customer-facing, and it is what a form booking or a booking page does automatically.
  • A guest has been invited. Somebody other than the host is on the entry as an attendee.

If neither is true, no meeting record is created and the entry does not appear under Meetings.

When the check happens

The check runs when the entry is created or updated. So attaching a contact to an existing entry makes it a meeting from that point — you do not have to delete it and start again.

It is also safe to do repeatedly. An entry that is already a meeting does not become two meetings.

Bookings are always meetings

Anything somebody else booked with you — through a form, or through a booking page — arrives with their contact record attached, because collecting their details is how the booking was made. Those are meetings from the moment they are created, with no action from you.

The desktop list and the mobile list differ

The desktop list at CRM → Meetings shows every meeting in the organisation. The mobile app shows only meetings where you are the organiser or an attendee.

So a colleague's meeting appears on your desktop list and not in your phone, which is correct in both cases: the desktop list is an organisational record, and your phone is for the meetings you are actually going to.

Examples

Scenario
A prospect books a call through your booking page

A meeting, immediately. Their contact record is attached as part of the booking, the Observer is scheduled if the meeting has a Google Meet link, and it is in your list straight away.

Scenario
You create a calendar entry called "Coffee with Priya" and nothing else

Not a meeting. It is on your calendar, it blocks your time, and it is invisible to Meetings — so there is no record button in the mobile app when you sit down with her. Attach Priya's contact record to the entry and it becomes a meeting.

Scenario
You block out Friday afternoon to write a proposal

Not a meeting, and that is the rule doing its job. Nobody else is involved, so it never reaches the Meetings list.

Scenario
You invite two colleagues to an internal review

A meeting. Guests are involved, so it qualifies — no contact needed. If it is a video meeting on a Google Meet link, the Observer attends it just like a customer call.

Scenario
A meeting imported from your own Google or Outlook calendar

Imported entries protect your availability but do not become meetings. They exist to stop Zyntro double-booking you. If you want one recorded, create the meeting in Zyntro.

Scenario
You attach the contact ten minutes before walking in

That works. The entry becomes a meeting when you save the change, and the record button is there in the mobile app by the time you sit down.

Where a meeting shows up

A colleague's meetings
Calendar entries with nobody else on them
Entries imported from your own Google or Outlook calendar

Important: A calendar entry becomes a meeting only when somebody else is involved. Either a contact is attached to it, or a guest is invited to it. An entry with nobody but you on it stays a calendar entry: it will not appear under Meetings, it cannot be recorded, and it will not produce intelligence. If you want a meeting you are attending in person to be recordable, attach the contact to the calendar entry — that one step is what makes it a meeting.

Tip: Make it a habit when you book, not when you arrive. If you attach the contact at the moment you put the entry on your calendar, every customer meeting you have is recordable by default and you never have to think about this rule again.

It is worth doing even for meetings you have no intention of recording: it is what makes the meeting show up on that contact's record, so their history is complete.
