Meetings Zyntro Cannot Attend

The conversations that matter most are often the ones in a room.

What It Is

The Zyntro Meeting Observer joins video calls. It cannot join a meeting in a room, a phone call, or a call on a video platform Zyntro did not create the link for — in each case there is simply nothing for it to dial into.

That is a large share of real business conversations, and often the most consequential ones. The site visit. The coffee that turns into a deal. The call you took in the car.

None of those are excluded from Meeting Intelligence. The difference is only in how the recording gets to Zyntro: you supply it rather than the Observer capturing it. After that, everything is identical — the same transcript, the same summary, the same debrief, the same contact update, the same follow-up.

There are two ways to supply it, and each has its own guide:

  • Record it as it happens, on your phone, using Zyntro Mobile. This is the route for a meeting you are physically at.
  • Supply it afterwards, as a recording, a video link or a transcript, from whatever source you have. This is the route for a call on someone else's platform, a phone call, or a meeting nothing captured at the time.

Why It Matters

Because a record of only your video calls is a biased record. If the only conversations that reach the CRM are the ones that happened to be on a Google Meet link, then your customer history is shaped by which calls were convenient rather than which mattered. The in-person meeting where the deal actually turned is the one missing.

Because what gets said in person is usually better material. People are more candid in a room. The constraint they would never put in an email, the real reason the last supplier did not work out — that tends to come up over a table. Those are exactly the details worth having on a contact's record before the next conversation.

Because you will not remember it. The point of this is not record-keeping for its own sake. It is that you walk out of a meeting with four useful things in your head, write down one, and lose the rest by the end of the week. Recording it means all four reach the contact's record without you typing anything.

How It Works

Choosing between the two routes

The question is simply whether you will have the conversation in front of you at the time.

If you are there in the room, record it with Zyntro Mobile. It is the better route because the recording happens while the conversation does — nothing depends on another service having produced something afterwards, and nothing has to be chased down later. Recording In-Person Meetings with Zyntro Mobile covers it.

If you are not, or it has already happened, supply the material afterwards. Recover Meeting Intelligence covers that, and Meeting Intelligence for a Phone Call covers the particular case of a call you took on your phone.

What a meeting needs before either route works

For the in-person route there is one condition: the calendar entry has to be a meeting, which means a contact attached to it or a guest invited. An entry with nobody but you on it has no record button at all. This catches people out, so it is worth doing when you book rather than when you arrive.

The retrospective route has no such condition, because it builds the meeting as it goes.

What it costs

Unlike an Observer-attended meeting, these are charged per meeting, because something has to transcribe the audio. The three sources cost different amounts and the price is shown on the screen next to each one — a transcript is cheapest, since there is nothing to transcribe.

What you get

Exactly the same as any other meeting. There is no reduced version of Meeting Intelligence for meetings Zyntro did not attend.

Examples

Scenario
A site visit with a prospect

Attach the contact to the calendar entry before you go, then record it in Zyntro Mobile on arrival and process it before you drive away. The debrief is waiting when you get back, and what they told you about their timeline is already on their record.

Scenario
A phone call you took while out

There is nothing for the Observer to join, and you probably were not recording. If you have anything at all — a voice memo, notes you typed up — the transcript route takes it. Even notes in your own words produce a usable summary and a follow-up.

Scenario
A client who insists on their own video platform

Ask them to turn on their platform's transcription, or do it yourself if you are the host. Paste the result into the meeting afterwards. This is the cheapest route and it is indistinguishable from the Observer having been there.

Scenario
A meeting the Observer should have recorded but did not

Open the meeting and use Recover Meeting Intelligence at the bottom of the screen. If anyone on the call recorded it, the meeting is not lost.

Scenario
A conference where you had six conversations

Each one needs its own meeting to be recorded against, which is more setup than most people will do standing in a hall. A voice memo per conversation and six retrospectives afterwards is the realistic version.

Important: A calendar entry becomes a meeting only when somebody else is involved — a contact attached, or a guest invited. This is what decides whether there is a record button in Zyntro Mobile, so it is the one thing to get right before an in-person meeting rather than after it.

Tip: Recording as it happens beats recovering it afterwards. Both routes produce identical results, but the in-person route depends on nothing except you remembering to tap record, whereas the retrospective route depends on something else having captured the conversation. When you have the choice, take the first one.
